Paper Forms Are Everywhere — And They're a Data Entry Nightmare

Despite the push toward digital, paper forms are still everywhere:

  • HR onboarding forms — new hire info, emergency contacts, tax forms
  • Customer intake forms — contact details, service requests, preferences
  • Survey responses — feedback forms, satisfaction surveys
  • Medical intake — patient history, consent forms, insurance info
  • Legal documents — applications, affidavits, agreements with fill-in fields

Someone always has to manually enter this data into a computer. That person is usually doing it while also trying to do their actual job.

The Old Workflow vs. The New Workflow

Before AI Extraction

  1. Collect stack of paper forms
  2. Enter each form row by row into Excel or a database
  3. 3-5 minutes per form, more for complex ones
  4. Fatigue leads to errors by form 20
  5. Repeat tomorrow

With ScanToExcel

  1. Scan or photograph the stack of forms
  2. Upload each page
  3. AI extracts all field data automatically
  4. Download a spreadsheet with one row per form
  5. Done

What Fields Get Extracted?

ScanToExcel reads both printed and handwritten form fields:

  • Named fields with labels (Name:, Date:, Address:)
  • Checkbox selections (checked vs. unchecked)
  • Tables and grids within forms
  • Signatures and dates (extracted as text)
  • Multi-line free text fields

The output maps each field label to its value — so "First Name: John" becomes a column called "First Name" with value "John".

Real-World Use Cases

HR Teams

Onboarding 10 new hires? Instead of manually entering W-4s, I-9s, and direct deposit forms into your HRIS, upload the scans and get a spreadsheet back. One copy-paste import and you're done.

Healthcare Practices

Patient intake forms contain a dozen fields each. For a busy practice seeing 30 patients a day, that's a significant admin burden. AI extraction cuts it to minutes.

Event Organizers

Registration forms, waivers, feedback surveys — all of these have the same data that needs to end up in a spreadsheet. Scan them in bulk and get clean data back.

Research and Surveys

Researchers who collect paper surveys can digitize hundreds of forms in the time it used to take to enter a handful.

Tips for Best Results with Paper Forms

  • Good lighting — avoid shadows over the form when photographing
  • Flat surface — don't photograph forms at an angle
  • High resolution — phone cameras are fine, but keep the form in focus
  • One form per upload — for multi-page forms, upload all pages together

Handling Handwriting

Handwritten forms are the hardest to digitize — but AI handles them surprisingly well. Printed block letters are nearly 100% accurate. Cursive handwriting is trickier, but the AI still extracts the majority of fields correctly, and the time to review and correct a few fields is far less than entering everything manually.
