ScanToExcel ("we", "our", or "the Service") respects your privacy. This policy explains what data we collect and how we use it.

1. Data We Collect

Account Information

When you create an account, we collect your email address, display name, and authentication credentials. Account authentication is provided by Google Firebase. If you sign in with Google, we receive your name, email, and profile photo from your Google account.

Document Images

When you scan or upload a document, the image is sent to our AI processing service (OpenAI) for extraction. We do not store your original document images on any server. Images are processed in real-time and discarded immediately after extraction.

Extracted Data

For logged-in users, we store the extracted spreadsheet data (text content only, not the original image) in your account so you can re-view and re-download past scans from your dashboard. You can request deletion of this data at any time.

Scan History (iOS App)

On the iOS app, extracted spreadsheet data and small thumbnails are stored locally on your device only. This data never leaves your device unless you explicitly export or share it.

Payment Information

Payments are processed by Paddle (Paddle.com Market Ltd), our merchant of record. Paddle handles all billing, tax collection, and invoicing. We do not collect or store any payment card details, bank account numbers, or other financial information. Paddle may collect your name, email, billing address, and payment method. Please refer to Paddle's Privacy Policy for details on how they handle your data.

For iOS in-app purchases, subscription and purchase data is handled entirely by Apple through the App Store.

Usage Data

We track basic usage metrics such as number of scans performed, credit balance, and plan type in order to operate the service. We do not use third-party analytics or advertising trackers.

2. How We Use Your Data

  • To provide the document-to-spreadsheet conversion service
  • To maintain your account, scan history, and credit balance
  • To process payments and manage subscriptions (via Paddle)
  • To send transactional emails related to your account (e.g. subscription confirmations)
  • To provide customer support

3. Data Sharing

We share data only with the following third parties, strictly for operating the service:

  • OpenAI — Document images are sent for AI text extraction and are processed according to OpenAI's API data usage policy. Images are not used for training.
  • Google Firebase — For authentication and secure data storage.
  • Paddle — For payment processing, tax compliance, and invoicing.

We do not sell, trade, or share your personal data with anyone else.

4. Data Storage & Security

Account and scan data is stored securely in Google Cloud Firestore. All data is encrypted in transit (TLS) and at rest. We retain your data for as long as your account is active. iOS app data is stored locally on your device.

5. Your Rights

  • Access: You can view all your stored data from your dashboard.
  • Deletion: You can request deletion of your account and all associated data by contacting us. iOS data can be deleted by clearing scan history or uninstalling the app.
  • Portability: You can download all your extracted data as .xlsx files from your dashboard.
  • Correction: You can update your account information at any time.

If you are in the EU/EEA, you have additional rights under the GDPR. Contact us to exercise these rights.

6. Cookies

We use essential cookies and local storage for authentication and theme preferences only. We do not use advertising or tracking cookies.

7. Changes

We may update this policy from time to time. We will notify users of significant changes via email or in-app notice. Continued use of the Service constitutes acceptance of the updated policy.
